    Commercial cleaning contract notice periods explained

    Most UK commercial cleaning contracts run a 12-month initial term and then roll monthly, with one to three months' written notice to terminate. Notice must be served the way the contract states — usually in writing to a registered office — and before any auto-renewal date, or the term restarts.

    What is normal in UK cleaning contracts

    One month's notice is common for small single-site office contracts. Three months is standard on multi-site or TUPE-heavy contracts, because the incoming supplier needs that long to mobilise.

    Anything longer than three months on a routine cleaning contract is worth negotiating down before signature. Six- and twelve-month notice periods exist and are almost always to the supplier's advantage.

    The auto-renewal trap

    Many contracts renew automatically for a further fixed term unless notice is served within a window before the anniversary. Miss it by a week and you can be committed for another year.

    Put two dates in your facilities calendar the day you sign: the anniversary, and the last day to serve notice. Diarise the notice deadline six weeks earlier so you have time to run a tender first.

    How to serve notice so it counts

    Read the notices clause, not the termination clause — they are usually separate. It will specify the recipient, the address and the delivery method.

    • Put it in writing on letterhead, dated, quoting the termination clause
    • Send it to the address named in the contract, not to your account manager
    • Use the stated method — recorded delivery if required, with proof retained
    • State the final service date explicitly rather than 'with immediate effect'
    • Copy your account manager by email as a courtesy, not as the notice itself

    Terminating for poor performance

    A material breach clause usually lets you terminate early if the supplier fails and does not remedy within a stated period after written notice. To rely on it you need evidence: audit scores against the written specification, dated complaint logs and the remedy notices you served.

    Informal complaints by phone are worth nothing at this point. Start logging in writing from the first failure, not the tenth.

    Line up the replacement before you serve

    Never serve notice until the incoming contract is signed and a mobilisation date is agreed. A gap in cleaning is far more expensive than a few extra weeks on the incumbent's contract.
